Job Summary

This is a fast-paced and diverse role that supports the Occupational Medicine Residency Director in coordinating necessary functions for the Occupational Medicine Residency. The chosen applicant will also have an integral role in the administration team for the Occupational & Environmental Health Division and promote a collaborative spirit across University Departments and with the Rocky Mountain Center of Occupational and Environmental Health ( RMCOEH). They will act as a liaison and market to external partners and organizations for the offerings of the Division.

Responsibilities
  • Complete day-to-day operations of the OEH Division OM Graduate Medical Education (GME)Program.
  • Provide Administrative support for OMR program committees, e.g., Resident Advisory Committee (RAC), Clinical Competencies Committee (CCC), and Program Evaluation Committee (PEC).
  • Update program policies as needed under direction of OM Residency Program Director.
  • Assist resident's adherence to/understanding of polies, protocols by providing resources, communicating to appropriate faculty when issues arise.
  • Work with OM Residency Program Director and relevant faculty to develop and update Learner Centered Goals and Objectives for training experiences and provide documentation to residents, faculty, relevant staff, and UU GME (i.e., MedHub).
  • Assist with development of OM Residency Syllabus, residency documentation, and assist in review of the OEH Handbook.
  • Use MedHub to assist with production, entry and distribution of rotations, didactics, conference schedules and schedule of residents including leave.
  • Maintain resident files, draft verification letters and forms including for current residents, and program alumni.
  • Write, send, and track Program Letters of Agreement (PLA) between the OM residency program and each training site.
  • Write, send, and track house staff contracts.
  • Coordinate, process and proctor trainings and exams (e.g., annual in-service exam, summative exam, and other testing requirements).
  • Track and maintain residents' scholarly activity progress and data for UU GME office, and assist in the provision of the data for the annual ACGME WebADS update.
  • Communicate on behalf of the OMR directly with ACGME, American Board of Preventive Medicine, American College of Occupational and Environmental Medicine, Association of Occupational and Environmental Clinics, and other organizations
  • Work with UU GME office, OEH Graduate Programs Advisor and RMCOEH staff to ensure resident compliance and maintenance with on-boarding including credentialing requirements, VA onboarding, Xtrain appointment, BLS certification, immunizations, licensing, exams, tuition residency status, direct deposit form for residents, HIPAA and other required trainings, etc.
  • Report monthly resident clinical duty schedules to VA (timesheet), and GME (MedHub)
  • Work with the OM Residency PD to coordinate semi-annual Residency Advisory Committee (RAC) meeting including: develop invitations to members, assist with agenda, record minutes, handle confidential resident and faculty evaluations to then route to the RAC Chair, and prepare meeting facility
  • Coordinate medical student and visiting resident rotations with the UU OM Residency program: coordinate OM Residency Program Director/faculty approval, credentialing of external students, schedule clinical and course work/site visits/external sites, and process evaluations.
  • Coordinate (including with the CE Program where applicable) for scheduling program-wide events, e.g., residency orientation, Grand Rounds, Case Conference, CME lectures, ascertainment of residency completion, etc.
  • Work with the RMCOEH Continuing Education Program Director to support Continuing Education Program's OM functions, helping them plan, execute and assure CME credits are available for functions (e.g., OM Grand Rounds, Clinical Case Conference, Journal Club), and assist in the CE Program in the review and application for continuing medical education credits. Coordination includes assistance with advertising, venue, purchases/payments, food and clean-up.
  • Maintain attendance records, including of residents, and assist faculty and other attendees in obtaining their records of CME hours.
  • Work together with the Occupational Medicine Medical Director(s) to market to companies for both direct clinical contracts/care and consulting contracts.
  • Act as liaison between the Occupational Medicine Clinical Group and outside entities/partners.
  • Other duties as assigned.

Minimum Qualifications

Bachelor's degree in a related area plus three years of experience in budget, grant and program management or equivalency (one year of education can be substituted for two years of related work experience) required. Develops and implements program ideas into successful academic and research programs; demonstrated human relations and effective communication skills also required.
